English Congregation executive

POSITION: ENGLISH CONGREGATION EXECUTIVE

POSITION SUMMARY:
Reporting to the Church Office Manager and the Senior Minister, this role supports the organizational life and ministries of the English Congregation of ORPC.

DUTIES AND RESPONSIBILITIES:

  1. Compile, edit and produce worship bulletins for various regular and special worship services.
  2. Prepare, coordinate and compile/send documents for Session Meetings, Monthly Congregational Prayer Meetings, and other key meetings.
  3. Prepare, coordinate and compile/send materials for Bible Study and other group ministries
  4. Manage and coordinate arrangements and announcements on wakes, funerals and other events.
  5. Liaise and coordinate with the pastoral team, elders, deacons and other leaders on ministry matters.
  6. Provide research and organisational support for the various ministries.

ADMINISTRATIVE:

  1. Secretarial support for the English Congregational pastoral team
  2. Handling church communications and publications, creating and distributing bulletins and newsletters, including producing presentation materials.
  3. Record minutes of various church meetings, including Session meetings.
  4. Manage and coordinate communication with church visitors and/or new-comers.
  5. Create and maintain office documentation and congregational records (hardcopies and softcopies), including church membership roll.
  6. Compile and update congregational calendar.

GENERAL:

  1. Housekeeping of the Sanctuary information counters, congregational pigeon-holes, suggestion boxes, notice boards, etc.
  2. Align with the Safe Management Measures team for relevant tasks.
  3. General clerical assistance, including but not limited to answering phone calls, attending to enquiries, responding to emails, preparing documents including office correspondence, memos, presentations, and setting up of online meetings.

QUALIFICATIONS, EXPERIENCE AND SKILLS:

  1. Diploma in business management or related field.
  2. 2 years’ office or administrative experience, and at least 8 years’ of working experience.
  3. Excellent written and verbal communication and interpersonal skills.
  4. Strong computer skills, proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Access), and ability to operate office equipment, including online tools.
  5. Ability to multi-task with solid time management and prioritisation skills.
  6. Problem-solve independently and collaborate with others as required.
